Kew Green | fango Case Study
Scaling Christmas Event Management Across 30+ UK Properties
Managing high volume Christmas events across a large hotel portfolio presents unique operational challenges. For Kew Green Hotels, with more than 30 properties delivering busy festive calendars simultaneously, maintaining visibility, consistency and financial control had become increasingly complex.
For the past five years, fango has partnered with Kew Green Hotels to centralise and streamline festive event management across the entire group. The result is a more efficient operating model that reduces administrative pressure, improves reporting clarity and strengthens revenue performance across every property.
The Challenge
In 2019, the management of Christmas sales was centralised across the portfolio. This meant that, for the first time, a central team was manually handling a significantly volume of festive bookings.
The first Christmas under this new structure, managing pre-orders, enquiries, payments and reporting through manual processes was incredibly challenging. It quickly became clear that a more streamlined process was needed to support the central team effectively.
With festive demand continuing to grow, they needed a solution that would enable central oversight, improve reporting accuracy and reduce manual administration.
The Solution
Working closely with the Kew Green team, fango implemented a bespoke multi property structure designed to deliver complete portfolio oversight while retaining flexibility at property level.
A unified group dashboard now provides real time visibility of bookings, events and performance across all hotels in one place. Automated and scheduled reporting removes the need for manual data gathering, saving valuable time during peak periods. Custom staff permissions ensure individual properties can manage their own events while head office maintains full strategic control.
This structure enables one central administrator to oversee festive activity across more than 30 properties from a single system. It has dramatically improved efficiency, forecasting accuracy and operational coordination across the group.

The Results
The partnership has delivered measurable operational and commercial improvements. Administration has been significantly reduced, reporting has been streamlined and visibility has been enhanced across the entire portfolio. Leadership teams now have instant access to real time booking data, supporting faster and more informed decision making.
Kew Green Hotels have also seen increases in both ticket and pre-order revenue since launching fango. Importantly, 43% of all orders were placed outside standard office hours, capturing demand that may otherwise have been lost and allowing guests to book at their convenience.
Standardised processes have created greater consistency across properties, strengthening both operational delivery and the overall guest experience during the busiest time of year.
Looking Ahead
Following the success of centralising Christmas events, Kew Green Hotels now use fango to drive revenue across a wider calendar of events throughout the year. Tribute nights, Mother’s Day, and other key trading occasions are all managed through the platform, enabling the group to promote events effectively, capture bookings online and collect ticket and pre-order payments in advance.
By securing revenue ahead of the event date and maintaining full portfolio visibility, the team can forecast more accurately, reduce financial risk and maximise event performance across every property.
For hotel groups managing events across multiple venues, centralisation is not just about efficiency. It is about control, consistency and unlocking additional revenue opportunities year round.
If you operate across multiple properties and want to streamline event management, reduce admin and gain full oversight of performance, fango can help.
